You need to get your company shared files moved into Microsoft 365 and your IT system secured and managed with Microsoft 365 in order to make your company AI Ready and prepare it for Microsoft 365 CoPilot.
In the past videos I talked about the point of using SharePoint/Teams/OneDrive with Windows File Explorer to transition your users comfortably from working with files on a legacy file server to working with files in Microsoft 365, and all of those I made in those past videos are relevant.

      Thanks for commenting @andrewenglish3810. I mean it. And I get your point. I feel there is more missed by having multiple un-integrated, or loosely integrated 3rd party IT security and management servers to to deal with. Also, Microsoft uses these same security products. They are a $3T company. I say if it is good enough for them, it's good enough for most of us. Also, as a company that only integrates these systems, we just don't have issues and IT overall is very peaceful. That being said, IT managers need to train, certify and get years of experiencing properly integrating these system, which is tough for internal IT managers to do and I'm epithetic to that issue. Again, totally respect your point. And thanks for taking a moment to comment.

    I'm fairly confident you don't need azure ad premium to set up MFA or auto backup bitlocker keys. That's included in Microsoft intra ID now.

      Thanks @twangt! And, yes, we do...about 98% of the time. There are some cases where Azure Virtual Desktop makes sense though at this point, rare.

      Thanks @tanbirprodhan888! Sure, you can purchase the Microsoft 365 E5 Security Add-on. It does require you have at least one M365 E5 license though...which usually is good to give to the IT manager.

      Yes to both. I suppose there is always going to be a chance that a desktop application won't work, though we haven't run into one yet in our cloud practice with clients.

    The E3 License has 100GB mailbox sizes, business premium has 50GB, check mailbox sizes before doing this upgrade.

      Business Premium has a 1.5TB email archive included. Part of the work of these integrations is to advise the client and configure a policy that automatically moves emails from the live mailbox to archive. In the case where someone must have a live 100GB mailbox (rare) we can add on an Exchange Online Plan 1 license which is still less expensive than M365 E3, and still a better value. In cases where someone needs 300+ licenses, M365BP premium isn't an option unless they want to mix Business with Enterprise licenses...something I wouldn't recommend.

      @@iansylvester1164 That is true though still cheaper than M365 E3, but even if it was higher, the amount of users we need to apply this add-on is rare when you integrate the 1.5TB archive. I'd estimate for every 30 integration projects we do, which would amount to a total of around 1,000 end-users, I doubt it is even 10. And to make M365 E3 apples to apples with M365 BP, you need to also put add-ons to M365 E3 raising it's cost. That being said, if M365 E3 isn't your thing, all good.

    hi, today just apply a microsoft cloud PC but i installed VNC server remoting software inside this cloud PC and doesnt work. it wont load. do you know is it because this cloud PC blocked or other reason.

      Just a quick question. I just wanted your input on whether users of Microsoft Office 365 (E3) as well as Windows 365, should be "backing up" their Office 365 data (like OneDrive). I understand about the multiple "Recycle Bins" that are in place (plus the 7-year retention policy) but in terms of a backup process outside of Office 365, I was just wondering which product or 3rd party (if any) you would recommend or if it is not necessary. Thank you for your time!!!

    I'd be interested to knowhow you are re-purposing old or refurbished PCs. If you are just installing a fresh version of the OS then there is the overhead of managing and securng these devices. If you are using third party software like Stratodesk or Igel OS then there is additional cost and management required. Be useful to know how you recommend managing these endpoints.

      You can take an existing Windows 10 or 11 Pro company computers as-is...manage it with Intune. If Windows 10, manage the upgrade automatically through Intune. Refurbished computers purchased with Windows 11 Pro managed with Intune. Super easy. No overhead. The thing is this...if an IT manager doesn't want to do it, they will find a way not to. If they want to make it happen, they will find a way. Going doing the path I describe in the video would be for an IT manager that is all-in with, and excited about, Microsoft cloud services. If they aren't, that's cool too.

    Wow Amazing stuff! Is it possible to do the same with Google Drive stores files? Also, how about slack? I have user access to multiple slack channels that I can't export date or chat history out of ti.. I wonder if there is a way to copy the entire chat and paste it in a model that allows me to ask for a summary or as well crafted report or google sheets docs with the important topics from months or years of conversations inside a slack channel.

    When will Copilot for M365 be available to SMB? Currently it’s a 300 user minimum / $108,000 annual fee. Also, thoughts on Microsoft moving away from sync to add shortcut to OneDrive?

      We anticipate by March - June 2024 based on the progress of things at the enterprise level, which is why SMB's need to get AI READY now. They wouldn't just drop in CoPilot with out getting their security modernized, and shared files fully integrated, and even then, not without getting their users and IT admins trained...thus the theme of this video. Microsoft isn't moving away from file sync on Windows File Explorer..they added a shortcut as you spoke, which is OK, but that shortcut feature isn't replacement for anything. In fact, they are doubling down on sync, in that Windows 365 Cloud PC's, their virtual desktop solution, will be able to work offline and sync.

      @@Xerillion Microsoft now recommends using Shortcuts in their documentation as "the more versatile option". Also, they are prepping the Onedrive PWA, OneDrive web app and, Teams to handle offline files. It sounds like they are moving away from Sync.

      If that is your interpretation, that's cool. I mean it. What I like to see is IT pro's who keep an eye on the changes and formulate their own opinions of the future. This is what companies pay us to do...to have a vision. When I speak to new prospective clients, often I tell them, "Imagine you **weren't** hiring my company as a 3rd party, imagine you were hiring me (Wayne Chapin) as your internal IT manager, and you asked me: 'Wayne, if you come to work as the IT manger for our company, what direction would you take our IT system?' I'd then give my my take on shared files inside Microsoft 365." Now, in your case, you'd do the same...which cool. And, I'll go a step further...I really enjoy getting into conversations about where things are headed with IT pro's like yourself, though it's much more beneficial to do it live, versus chat. Which for 2024, I'm trying to figure out a way to get a live engaged conversation going with some of you guys. But again, not in chat. And not be just going live in RUclips while you guys message me in chat. I'd really like a peer-based video meeting. That's hopefully something I can figure out for 2024.     I cannot tell you how much I identify with what you say in your videos (not just this one), so I love when you post. It drives me nuts how many in IT think that an SMB needs an ESXi host for three VMs and a DR system just because that it how it was done 10-15 years ago. So many companies think they are running "Microsoft 365" when in reality they are running "Exchange Online" and are hardly even touching or understanding the other 20-50 components of what is included in their license. Kudos to you for going all-in on the M365 stack as it is 100% the future. I see so many MSPs continue to run on the old way of doing things, and they are going to get lapped by the future if they do not upskill and retrain for what users and companies are asking for in 2023+.

      @@RealDeal-up5gt thanks for asking. We don't. I have thought many many times about building and selling a guide for IT managers around doing these migrations themselves. The problem with it, as I see it currently, is that there are so many permutations and name changes that anything we build will go out of date within 3-6 months. Also, the IT managers will never get the confidence to cutover a system through a guide alone. It is best to work with someone like us to guide you, build it, do the cutover with you, show you some basic admin, and then hand you the reigns. Even then though, the monitoring and management of a cloud services system is a big deal and can't just be "taken over" without training and experience. Thank for asking.

      Hey @dellc. I talk about thin clients as a connection device many times in this video. They are a way to connect to Cloud PC's though they are not a competitor to them. Thin clients don't host virtual desktops, they connect to them.

    This video deserves way more upticks. If only Microsoft themselves could so clearly and succinctly explain their own products - trying to pull out a coherent narrative from Microsoft is like whack a mole - It's all a confusing, never ending jumble of contradictory links to reference material which often leaves you with a headache and feeling less confident than when you started.       Smellthecoffe5314, really nice of you to say. And it's funny of you to say too as it is true. A great deal of my time is processing all the information that comes at us as Microsoft cloud partners and filtering it for what I think IT managers really care about. Microsoft's content is focused on their large (1,000 user+) enterprise customers that generate most of Microsoft's revenue. So, that makes sense. in the 30 - 300 user market, that is where they rely on their partners. I would love to be able to point chatGPT at Microsoft content and have it work up scripts...been there..tried that...many times...but there needs to be a real IT manager there to filter out what really matters to IT managers like us. Anyway, really appreciate the comment. 🙂

      Microsoft stands to make more money when things are murky, that is how all SaaS subscriptions work. Ignorance can be swayed into just going with the E5 and most everything being underutilized as pointed out in the video.

    Not sure this is a how-to. more like a sales pitch I can use to convince the higher-ups that this is a great solution. Though a little long for the Executives attention. It is a very good and thorough walk through of the benefits of making the migration. From the technical aspect it leaves some questions. First, we have a lot of folders in our main shared folder. those subfolders are allowed access by different folks depending on their job. Many of them over lap also depending on their roles. because there are so many folders in this share, we have it set so that you dont see those folders you do not have access to. Does that hide folders you dont have access to still work in Sharepoint? Does anyone have a good link with a technical video of how to set all this up. I can set up most of it, but a full walk through would be helpful to fill in the gaps.

      Hey eijahb77. The audience for these videos is IT managers who are in the trenches. If this gives them inspiration to get it done on their own...great. I think the job is too complicated to do without 5-6 actual migrations under an IT Pro's belt to move a high profile IT service like file sharing. IT managers only get to work on one network, so they can't get the experience to get the confidence to do these projects and need a Microsoft cloud partner. They can reach out to us or reach out to anyone they like. To answer your question, we migrate files to Teams (foundation of SharePoint) and if someone doesn't have access, they don't see the folders. Also, as is talked about in many of these videos we have, moving your shared file folder for most companies does require thoughtful changes in shared structure, permissions, and training end users for successful change management. It's rare you can just do a simple copy of folders and security permissions. And a how-to video on these process would, I'd estimate, be 8 hours long, take 200+ hours to produce and be outdated within 3-6 months. And there are just too many special circumstances that every single network has that cannot be accounted for in a standard video. Every single one of you internal IT managers out there has some special circumstance that an experienced, trained Cloud IT Pro has to sort out. Thanks for the comment. 👍

    Director here - I think cloud PCs fit a good niche, but emphasis on niche. My issue is you still need to buy people PCs, and they can't be junk PCs. Cloud PC compute is also relatively expensive (if you don't hate your users and give them like... 1-2 vCPU and 8GB). So you end up still spending like 2-3x the cost of your normal PC fleet. And if you dont have really strict security/data requirements (eg. healthcare), it ends up not really being worth it. I've done the ROI and cost analysis so many times, and I really really want to love cloud PCs, but I just can't justify it. Love your video(s) and channel otherwise!

      Thanks Scott! Even when another IT pro doesn't share my approach, taking a thoughtful, respectful tone like you did and sharing your opinion, is great for interesting conversations. I'll share my thoughts on your comment as the respectful objection you share is interesting to me within the context of talking to hundreds of IT managers/directors/CTO's/CFO's/CEO's in just the past 3 years alone as Microsoft cloud systems got ultra-hot in 2020 with the pandemic. IT managers generally (not saying you do...and for the same of this..let's agree that you don't) just do hard cost analysis, and they don't think in terms of their salaries and costs, and the other IT personnel salaries and costs...the turnover costs of IT personnel (which is a whole other huge topic), the security risks...the costs of having idle stacks of computers sitting in server rooms. The servicing costs of physical computers vs. virtual computers (in this case Cloud PC's). They also over-provision virtual computers for users. The Cloud PC objection reminds me of objections of 7+ years ago around moving server to Azure. The IT manager would take the same on-premise specs which were massively over-powered and apply them to Azure and then point out what a rip off Azure was compared to physical server. That isn't a good analysis. Again, no saying you are doing that...but I see it ALL...THE...TIME. I do a LOT of educating with cloud services and tech. I will say this, if you are doing your Cloud PC analysis as an IT director of a single computer network..I don't care how big it is (the bigger the network is...usually the more that network will stay the same..too many moving parts and IT managers of larger networks are VERY risk adverse), an IT manger can only do this properly with a Microsoft AI Cloud Partner...a company that analyzes and proposes on integrating systems like Cloud PC's over and over and over. Internal IT managers cannot get the experience to do the proper analysis. They don't know what they don't know. How could they? They only work one-ish network at a time. Again, not looking to get into it here int the comments..not saying this is you. But...this is a fact and I see it all the time. The people we talk to most are IT managers and not companies without an IT manager. Lastly, I'll also mention that in my video, I talk about BYOD and repurposing old computers as Cloud PC connection devices. This works extremely well and provides absolute hard number cost savings, and requires less IT support personnel. And IT people shouldn't let the concept of "less IT support personnel" trigger them. Low level desktop support work is not the most interesting type of IT work to do. It's entry level and higher turnover which is a headache for IT directors like you.       @@Xerillion Gotcha, and I don't disagree with most of your points. I appreciate the reasoned reply. I do think cloud PCs are a good fit in a lot of situations and companies, but it's still not a solid fit for all. One of my current issues is remote and offline use, as a huge chunk of our workforce is in sketchy areas which dont have internet/cellular. I'd also make the argument that the ROI on cloud PCs is less in raw PC/compute savings but more in security and other benefits. VDI (and VDI-like) solutions, historically, are almost never about raw cash savings. Anyway - appreciate the points and discussion nonetheless. I always like sanity checks and good discussions with other IT leaders. Keep up the great work on the channel.

      @@scottrobinson2668 appreciate your discussion on this! One thing I'll make a future video on is that Microsoft is adding Microsoft Cloud PC Offline. So, the Cloud PC will work offline and then sync changes when it reconnects.
